Applying for jobs in the United States? Start by choosing the right document. For most business, technology, customer service and other non-academic positions, you will usually need a résumé: a concise account of your relevant experience, skills and achievements. A detailed curriculum vitae, or CV, is more appropriate when an academic, research or other specialist application requests it. A strong USA CV is not simply a different template. It connects your background to a specific vacancy and gives the employer evidence of what you can contribute.
This guide explains the American résumé format, how to write each section and how to use the CaféGist CV Builder. It includes three original samples, an academic CV outline and a reusable template.
USA CV format: quick answers
| Question | Practical answer |
|---|---|
| CV or résumé? | Prepare a résumé for most non-academic jobs. Use a detailed CV when the application requests one. |
| How many pages? | One page is a useful starting point for graduates; experienced applicants may need two. Keep only relevant material. |
| What should come first? | Your name, contact details and the qualifications most relevant to the role. |
| Should I add a photograph? | Normally, no, for an ordinary professional résumé. |
| Which layout should I choose? | Start with a clear layout that combines relevant skills with a dated work history. |
| PDF or Word? | Follow the employer’s instructions. Keep an editable master copy. |
| Does a good résumé guarantee sponsorship? | No. Application quality and permission to work are separate matters. |
CareerOneStop recommends a one- to two-page résumé, standard headings and straightforward formatting. Harvard’s résumé guidance also advises against photographs and an unsolicited reference list. These are general recommendations; a specific application may have different instructions.
The article continues below.
Understand the three main US application documents
A professional résumé
This is a selective document for a particular job. A customer service résumé might emphasise complaint resolution, CRM records and service performance. A software engineering résumé might instead lead with technical skills, projects and development experience.
You do not need to describe every job or activity in equal detail. Give the reader the evidence most useful for the position.
An academic CV
An academic CV can include research, teaching, publications, presentations, grants and professional service. Its length depends on the applicant’s background and the application instructions. Do not expand an ordinary business résumé into an academic CV merely to make it look more substantial.
The CV-versus-résumé distinction matters particularly when moving between academic and industry applications.
A federal résumé
US federal applications need close attention to the job announcement. Do not rely on older advice telling you to submit a four- or five-page federal résumé. OPM introduced a two-page limit for USAJOBS applications effective September 27, 2025; current USAJOBS guidance requires résumés of two pages or less.
Federal work-history information can also include hours worked per week and, for previous federal roles, series and grade. Follow the announcement’s required qualifications and document instructions.
How to create a USA CV, step by step
1. Read the job advertisement before writing
Make a short checklist of the employer’s main requirements. Separate essential qualifications from preferences, then find examples from your own experience.
For a customer service role, your planning notes might look like this:
| Employer requirement | Evidence to look for in your background |
|---|---|
| Respond to customer enquiries | Telephone, email, live-chat or face-to-face support work |
| Maintain accurate CRM records | Logging cases, updating customer details or documenting follow-ups |
| Resolve complaints | A genuine example of investigating and resolving an issue |
| Use spreadsheets | Actual reporting, tracking or data-checking work in Excel or similar software |
Do not add a requirement to your skills section simply because it appears in the advertisement. First establish whether you can support it with evidence.
2. Create a professional header
Include your name, a suitable headline, reachable phone number, professional email and genuine location. Add a relevant LinkedIn profile or portfolio if it strengthens the application.
Example:
AMARA JOHNSON
Customer Service Specialist
Atlanta, Georgia | [phone number] | [email protected]
LinkedIn: [profile link]
If you are applying from abroad, use your real city and country. Do not borrow a US address or phone number that prevents employers from contacting you.
Keep identity and financial documents out of a normal résumé. Do not put your Social Security number, passport number or bank details on it. USAJOBS specifically excludes Social Security numbers and personal information such as age or religious affiliation from résumés.
3. Write a summary that matches your evidence
A summary should tell the reader what kind of professional you are and why your background fits the vacancy. Use two or three focused sentences rather than a paragraph of adjectives.
Weak example:
A hardworking and dynamic professional seeking a challenging position in a reputable company.
More useful example:
Customer service specialist with five years of experience handling enquiries, maintaining customer records and following up on service issues. Comfortable using CRM software and spreadsheets to organise case information. Helped introduce a standard handover checklist for unresolved customer requests.
For a graduate, describe relevant projects, training or practical experience rather than claiming to be an experienced professional.
4. Group relevant skills clearly
Your skills section should help the employer locate useful capabilities quickly. It should not be a collection of every tool you have ever encountered.
Customer service example:
Customer enquiries • Complaint handling • CRM documentation • Order tracking • Excel • Written communication
Entry-level software example:
Python • JavaScript • SQL • Git • API development • Unit testing
Include only skills you can demonstrate. Specify the context where useful: an academic SQL project is valuable evidence, but it is not the same as years of professional database administration.
5. Write experience bullets that show contribution
For each relevant role, include your job title, employer, location and dates. Explain the work, its scope and any outcome you can substantiate.
CareerOneStop recommends describing relevant responsibilities and accomplishments using specific details, including results and appropriate job-description terminology.
Our suggested writing pattern is:
Action + task + useful context or result.
| Generic wording | More informative wording |
|---|---|
| Responsible for customer service | Responded to approximately 40 customer enquiries per shift and documented unresolved issues for specialist follow-up. |
| Worked with spreadsheets | Maintained an Excel tracker showing overdue orders and follow-up dates for the customer support team. |
| Assisted the accounts department | Matched supplier invoices to supporting records and flagged missing information before payment review. |
| Built a website | Developed a booking application with form validation, a SQL database and automated tests for core booking functions. |
These examples are fictional. Do not copy their figures into your résumé. If you cannot verify a numerical result, describe the contribution accurately without inventing one.
6. Explain education and certifications accurately
Use the qualification as awarded, followed by the institution, location and completion date. Mark an expected graduation date clearly if you are still studying.
Example:
Bachelor of Science in Computer Science
[University name], [City, Country] | Expected May 2027
For overseas qualifications, do not rename your award as a US degree or invent an American GPA conversion. If an employer requests a credential assessment, provide the assessment information you actually hold or follow its instructions for obtaining one.
Place role-relevant certifications in a separate section. Distinguish completed training from a certification still in progress. Do not use a regulated professional title or imply a US licence you do not hold.
7. Add projects or volunteering when useful
A project can demonstrate a skill that a job title alone does not show. Explain your individual contribution, the tools you used and the output.
Example:
Created an inventory-tracking application using Python and SQL. Added validation for stock updates and wrote tests covering duplicate product records and invalid quantities.
Volunteering, internships, student leadership and part-time work can also provide evidence. Describe them honestly under appropriate headings instead of disguising them as full-time professional employment.
8. Review layout, ATS readability and file format
Use conventional headings such as Experience, Education, Projects and Skills. Keep dates and spacing consistent. Avoid relying on graphics or skill-rating bars to communicate essential information.
CareerOneStop cautions that tables, text boxes, columns and graphics can cause parsing problems in some applicant tracking systems. It also recommends keeping important information out of document headers and footers. An attractive design is not automatically the safest choice for every upload system.
Before submitting:
- Open the exported file and inspect its page breaks.
- Check that the text can be selected and copied.
- Review any application fields populated from your upload.
- Use the employer’s required file type.
- Give the file a recognisable name, such as Amara-Johnson-Customer-Service-Resume.pdf.
No template or “ATS score” guarantees an interview. Treat automated feedback as one review step, alongside checking the advertisement and proofreading your document.

Why this sample works: It keeps the applicant’s overseas location and qualification transparent. It does not claim US CPA status, a US address or employer sponsorship.
Applying internationally: keep these questions separate
- Can you perform the work? Explain this through your experience and qualifications.
- Does the employer consider applicants in your situation? Read its location, remote-work and sponsorship requirements.
- What authorization would be needed? Check the applicable official requirements rather than assuming a résumé or job offer supplies permission to work.
Answer employer questions about current and future sponsorship accurately. Do not copy a work-authorization statement from a sample unless it describes your actual situation. Consult USCIS working-in-the-US information for official guidance relevant to your circumstances.
Academic USA CV: a useful starting outline
If the vacancy requests an academic CV, a one-page business résumé may omit essential material. Consider this structure, adjusting it to the application:
[Full name and professional contact details]
- Education: degrees, institutions and relevant thesis information.
- Research experience: your role, project focus, methods and contributions.
- Publications: complete, consistent citations; distinguish published, accepted and submitted work.
- Teaching experience: courses, responsibilities and relevant contributions.
- Presentations: conference or event, presentation title and date.
- Grants and awards: identify your role and the status of an award accurately.
- Professional service: committee work, reviewing or relevant community contribution.
- Methods and technical skills: tools relevant to the research or teaching position.
- References: include them if the application requests them; otherwise follow its document instructions.
Check the institution’s requirements before finalising the order. Do not label an unpublished draft as a published article or imply that a project grant was awarded to you personally when you were a team member.
How to create your USA CV with CaféGist
The live CaféGist International CV Builder has fields for your professional profile, experience, education, selected projects, certifications, languages and core skills. It also shows a live preview.
1. Select a readable template
Start by reviewing Global ATS for a straightforward application document. Consider Compact One-Page for an early-career résumé if your content fits comfortably. Choose the design that makes your evidence easiest to read.
A premium design is a presentation choice, not a guarantee of a better hiring outcome.
2. Complete your profile
Enter your professional headline, email, international phone number and genuine location. Use the work-authorization and availability/relocation fields accurately where relevant.
3. Add your own experience and projects
Build each section from your records. The samples in this guide illustrate structure and wording; their achievements should not become claims on your résumé.
4. Compare against a published opportunity
The builder provides Select an opportunity and Analyze match controls. Where a relevant CaféGist opportunity is available, use the comparison to review which genuine qualifications need clearer explanation.
Do not assume that selecting an opportunity means the employer accepts overseas applicants or provides sponsorship. Check the vacancy itself.
5. Review the quality feedback
Use Optimize CV to review the tool’s structure and readiness feedback, then inspect the preview yourself. Confirm names, dates, spelling, page breaks and the relevance of each section.
6. Save and prepare your application copy
Use Save CV to keep your work and Print / Save PDF to prepare a file. Follow any account or template-access prompt; CaféGist’s homepage states that a free account is required to save a CV.
The builder currently describes its designs as A4-ready. If your application requires US Letter size, check the print settings and exported page dimensions; reformat in a suitable document editor if necessary. USAJOBS, for example, specifies standard 8.5 × 11-inch documents. If an employer requests DOCX, prepare an actual editable Word file rather than renaming a PDF.

Common mistakes to avoid
- Sending an academic CV when the employer wants a short professional résumé.
- Using outdated advice about long federal résumés.
- Listing every previous task without identifying its relevance.
- Claiming US residence, credentials or work authorization inaccurately.
- Adding software keywords without evidence that you can use the tools.
- Copying sample achievements or invented AI-generated statistics.
- Assuming a “remote” role automatically permits work from any country.
- Submitting an exported file without checking it.
Frequently asked questions
Is a USA CV the same as an American résumé?
People searching internationally often use “USA CV” to mean an American résumé. In US applications, however, a detailed academic CV and a professional résumé are different documents. Follow the vacancy’s terminology and requirements.
Can I use my Nigerian or Ghanaian CV for US jobs?
You can reuse accurate experience and education. Reorganise it for the target vacancy, retain your genuine locations and explain relevant achievements clearly. Do not change your background to make it appear American.
Should I include my GPA?
Include it when requested or when it is accurate and strengthens an early-career application. Identify the grading scale where needed. Federal applications have their own education-information requirements; check the announcement.
Do I need American work experience?
Do not assume all overseas experience is irrelevant. Explain the work, tools and outcomes clearly, then check the employer’s specific qualifications and location requirements.
Is Europass required in the USA?
No universal US requirement makes Europass compulsory. For most non-academic roles, a targeted professional résumé is the better starting point unless the employer requests another format.
Should references appear on my résumé?
Normally, keep a separate reference list and provide it when requested. Academic and specialist applications may ask for referees or references as part of their application package.
Can CaféGist guarantee that my résumé will pass an ATS?
No tool can guarantee every employer’s parsing or screening outcome. Review CaféGist’s feedback, follow the vacancy instructions and check the final document yourself.
Does a good résumé guarantee a US visa or sponsorship?
No. A résumé presents your qualifications. Sponsorship decisions and permission to work depend on separate employer and official requirements.
Final USA résumé checklist
Before applying, check that:
- You prepared the document type the vacancy requests.
- Your headline and opening qualifications match the role.
- Every claim is accurate and supportable.
- Dates and locations are clear.
- Your résumé, portfolio and application answers are consistent.
- The file meets the employer’s format, page and upload requirements.
- Your contact details work and the exported document is readable.
